Why Consider This Job Opportunity
This full-time position provides administrative office support to the Administrative team as well as other department managers. Additionally, this position handles all general coordinating needs for the San Mateo office. This role requires working onsite to manage office operations and maintain a welcoming environment for employees and visitors.

What To Expect (Essential Job Responsibilities)
- Oversee general office administration for an office of 20–25 employees.
- Provide administrative and project support to management and employees as needed.
- Coordinate meeting logistics including location scheduling, equipment set-up, and food ordering for customer and internal meetings, company events, and other gatherings.
- Maintain and update schedules, calendars, and agendas.
- Create and modify documents using Microsoft Word, PowerPoint, Excel, and/or similar software.
- Greet visitors and manage visitor log.
- Purchase office supplies and equipment and maintain office inventory.
- Assist with office errands.
- Receive and distribute all incoming mail; coordinate outgoing mail (including courier services, FedEx, etc.).
- Collaborate with the team to brainstorm and implement ideas for CSR participation and community engagement activities.
- Assist with planning, scheduling, and attending quarterly company meetings, including coordinating travel arrangements and logistics.
- Ensure the office environment remains clean and organized; coordinate plant care and maintenance.
What Is Required (Qualifications)
- High school diploma, GED, or equivalent.
- Two years’ experience in an office setting.
- Strong organizational and time-management skills.
- Proficiency in Microsoft Office Suite.
- Experience with Outlook scheduling.
- Ability to confirm and reschedule appointments and maintain accurate records.
- Excellent time management, planning, and organizational skills.
- Well-developed interpersonal, oral, and written communication skills.
- Detail-oriented with ability to perform under strict time constraints.
How To Stand Out (Preferred Qualifications)
- Experience in office management and creating efficient workflows.
- Proficiency with SharePoint and Microsoft Suite tools, including Forms for data collection and reporting.
- Ability to build and maintain strong vendor relationships for office services and supplies.
- Skilled at fostering a welcoming and collaborative environment for employees and visitors.
Travel
Occasional travel for quarterly company meetings within California.

Minimum Salary: $27/hr
Maximum Salary: $38/hr
